closemind ("closemind", "we", "us") operates the AI communication-coaching service at closemind.co. This policy explains what we collect, why, how we handle it, and the choices you have.

Information we collect

• Account information. When you sign in with Google, we receive your name, email address, and profile picture from your Google account. If you sign in with an email magic link, we collect your email address. We use this only to create and secure your account.
• Practice content. Audio from live practice calls, transcripts, recordings you upload, and the persona research inputs you provide (URLs, documents, and notes).
• Generated content. Transcripts, metrics, and coaching assessments produced from your practice content.
• Usage data. Basic logs and device/browser information needed to run, secure, and improve the service.

How we use your information

• Provide the core service — run simulations, transcribe and assess calls, and track your progress.
• Authenticate you and keep your account secure.
• Maintain, debug, and improve the product.
• Communicate with you about the service.

We do not sell your personal information, and we do not use your practice content to train our own or any third party's foundation models.

Google user data

Signing in with Google gives us your basic profile (name, email address, and profile picture) solely to create your account and identify you in the app. We request only the email, profile, and openidscopes. closemind's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Service providers

We share data with vendors strictly to operate the service:

• Supabase — authentication and database (account and structured data).
• Cloudflare R2 — storage of recordings and audio.
• ElevenLabs — real-time voice for live simulations.
• Anthropic — language-model processing for assessments and persona generation.
• Exa — web research used when building personas.
• Vercel — application hosting.
• Google — sign-in (OAuth).

Each provider processes data only as needed to perform its function for us.

Data retention and deletion

We keep your data while your account is active. Deleting a persona or session removes its associated data (recordings, transcripts, and assessments). You can request full account deletion at any time by contacting us, and we will delete your personal data except where we are required to retain it to meet legal obligations.

Security

We use industry-standard measures — encryption in transit, access controls, and reputable infrastructure providers — to protect your data. No method of transmission or storage is fully secure, but we work to keep your information safe.

Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at the address below.

Children

closemind is not directed to children under 16, and we do not knowingly collect their personal data.

International processing

Your data may be processed in the EU and US regions where our providers operate.

Changes to this policy

We may update this policy from time to time. We will revise the "Last updated" date and, for material changes, provide notice in the app.
